Information on how to delete topics, articles or pathways.

There may be some cases where you have created some training only to realise that you no longer need it. This article will step you through the differences between archiving and deleting, how you can archive or delete training individually and in bulk.

Archiving vs Deleting

The first step is to decide if you want to Archive or Delete content, below is information on Archiving and Deleting to help you decide which is the best option. Please read the below before proceeding to Delete.


Archiving:

Archiving topics or articles will remove them from explorer dashboards and disable enrolment options, but retain the content and historical enrolment data for the future. They will also no longer appear on explorer dashboards, explorers can't access them. Creators can still see and edit them, however. Once a topic or article is archived, you can still change it back to 'draft' or 'active' mode, at any time.

Note: Pathways cannot be archived and Topics or Articles that are part of a Pathway and have been archived, will not automatically be removed them from the Pathway.

Deleting:

Deleting topics, articles or pathways will delete all data associated against it. This information cannot be restored once it has been deleted, so only use this option if you do not require any historical information to be retained. Once deleted it will be removed entirely from your Admin -> Knowledge dashboard, explorer dashboards and from any reporting that it has previously been included in.

Important: Deleting a topic, article or pathway will remove all of the data associated against it, including reporting information and it cannot be restored. Only proceed to delete items you are confident that you do not need.

How to archive Topics or Articles

Follow the below steps:

  1. Navigate to Admin -> Knowledge

  2. Select either Topics or Articles (You cannot archive a Pathway)

  3. Select the checkboxes next to each Topic, Article or Pathway you want to delete

    Note: You may like to first use the Filters or search box available to locate specific training you wish to delete.

  4. From the 'Bulk Actions' button, select 'Archive Knowledge'

  5. You will be presented with the below pop up screen to confirm you want to archive the selected knowledge, click 'Archive topics (or articles)' to proceed

  6. You will have one final pop up advising you of the successful archive

How to delete a single Topic, Article or Pathway

WARNING: Deleting a topic, article or pathway will remove all of the data associated against it, including reporting information, enrolments and historical information and it cannot be restored. Only proceed to delete items you are confident that you do not need.

If you are confident you wish to delete a Topic/Article or Pathway, follow the below steps:

  1. Navigate to Admin -> Knowledge

  2. Select either Topics, Articles or Pathways

  3. Click the title of your knowledge you want to delete

  4. From the overview page of your knowledge, select 'I want to' at the top right

  5. In the dropdown list, select 'Delete Topic (or Article/Pathway)'

  6. You will be presented with the below pop up screen to confirm you want to delete the knowledge, click 'Delete topic (or article/pathway)' to proceed

  7. You will then be presented with another pop up screen, asking you to type the text specified in the screen to delete the selected knowledge

    Note: Ensure you type the specified text exactly how it is presented in the text bar underneath - any additional characters will present an error and cancel the deletion

  8. Select 'Confirm delete' and you should have a confirmation pop up advising you of the successful deletion

Note: Deleting a 'Pathway' will not delete the Topics or Articles within the Pathway.

How to delete Topics, Articles or Pathways in bulk

WARNING: Deleting a topic, article or pathway will remove all of the data associated against it, including reporting information, enrolments and historical information and it cannot be restored. Only proceed to delete items you are confident that you do not need.

If you are confident you wish to delete Topics/Articles or Pathways in bulk, follow the below steps:

  1. Navigate to Admin -> Knowledge

  2. Select either Topics, Articles or Pathways

  3. Select the checkboxes next to each Topic, Article or Pathway you want to delete

    Note: You may like to first use the Filters or search box available to locate specific training you wish to delete.

  4. From the 'Bulk Actions' button, select 'Delete Knowledge'

  5. You will be presented with the below pop up screen to confirm you want to delete the knowledge, click 'Delete' to proceed

  6. You will then be presented with another pop up screen, asking you to type the text specified on the screen to confirm deletion


    Note: Ensure you type the specified text exactly how it is presented in the text bar underneath - any additional characters will present an error and cancel the deletion

  7. Select 'Confirm delete' and you will have one final pop up advising you of the successful deletion

Note: Deleting a 'Pathway' will not delete the Topics or Articles within the Pathway.

Help! It won't let me delete my selected Topic, Article or Pathway!

There are generally two reasons why you cannot delete a Topic, Article or Pathway.

  1. The first reason is that the text to confirm deletion has been entered incorrectly. Check you have typed the text exactly as it is displayed before selecting 'Confirm delete'

  2. The second reason is that you have the 'Deletion Protection' feature enabled for one of your Topics, Articles or Pathways that you are trying to delete. Check the details in our Deletion Protection article to learn more about this setting. This will need to be disabled on the training before you can delete it.
