Each topic and pathway has a Notifications tab that contains a list of email notifications. These are grouped by event type, including: enrolment, assessment, reminder and completion.
These notifications are triggered by specific events, such as a new enrolment, an assessment review, or a topic completion.
All notifications have a default recipient, but you can add others as needed.
If a particular notification isn't relevant, you can disable it entirely.
Note: To customise notifications, click the blue pencil icon on each notification panel, make your changes, and save.
What types of events trigger a notification?
Notifications can be triggered by several types of events:
Enrolments (including retakes)
Assessment-related activities (standard topics only)
Reminders
Completions

Enrolment notifications
Enrolment notifications
These notifications are always available.
Topic/Pathway enrolment: When enabled, this notification sends an email when a learner is enrolled in a topic or pathway by someone else.
This may be:
By an admin, either manually or through a bulk upload
Automatically, via an API or auto-enrolment rule.
By default, the email is sent to the learner and includes a link to the topic or pathway, along with a summary.
Topic/Pathway self-enrolment: When enabled, this notification sends an email when a learner self-enrols in a topic or pathway (via their catalogue or an auto-enrol link).
By default, the email is sent to the Primary Admin (as defined at Accounts → Subscription) with details of the person and enrolment.
This is used to notify admins when a self-enrolment occurs. In large organisations, enabling this may create a high volume of notifications.
Topic/Pathway retake enrolment: When enabled, this notification sends an email when a learner is enrolled in a topic or pathway as the result of a retake - for example, if it’s manually triggered or part of a recertification process.
Assessment notifications (standard topics only)
Assessment notifications (standard topics only)
These notifications are only available when the Assessment module is enabled in a standard topic. They are not available in short topics or pathways.
The notifications you see will differ depending on whether admin review is enabled in the topic's assessment settings:
🟪When assessment review by admin is enabled:
Assessment retake approval: When enabled, this notification sends an email when a learner’s retake request has been approved.
By default, the email is sent to the learner with a link to the topic.
Assessment review required: When enabled, this notification sends an email when assessment results are held for review and not shown to the learner immediately.
By default, the email is sent to the learner and the Primary Admin as defined at Accounts → Subscription. The email instructs the recipient on how they can review the assessment.

Assessment retake request:
When enabled, this notification sends an email when a learner fails an assessment and has used all available retakes.By default, the email is sent to the learner and the Primary Admin as defined at Accounts → Subscription.
This notification cannot be disabled once the Assessment module is active in a standard topic.
Assessment retake approval:
When enabled, this notification sends an email when a learner’s retake request is approved.By default, the email is sent to the learner with a link to the topic.
Note: If you change assessment settings in a published topic, the topic must be republished before any related notification changes will take effect.
If an assessment retake or review notification hasn’t been sent, this may be the reason.
Reminder Notifications
Reminder Notifications
Reminder notifications are always available. They let you create a schedule of messages to keep learners updated about upcoming and overdue due dates for their topics and pathways. For example, you might set reminders to send 2 weeks before the due date, 1 week before, on the day, and again after the due date if the enrolment becomes overdue.
Each reminder can be configured separately (for example, you may only want to notify managers when a topic is 1 week overdue). When enabled, a reminder is sent at the scheduled time to prompt the learner to complete their topic or pathway.
Where applicable, you can also include additional recipients — such as managers or creators — to help keep them in the loop when deadlines are approaching or missed.
By default, the email is sent to the learner and includes a copy of their journal or a list of topics in the pathway.
Reminder emails will not send if the learner has completed the topic or pathway before the reminder is due.
Reminder emails are only sent for enrolments with a due date.
If a learner's enrolment has no due date, no reminder will be sent — even if the topic or pathway has one.
If the learner's enrolment does have a due date, reminders will be sent (unless they complete it first).
Completion Notifications
Completion Notifications
The completion notification is enabled by default for all topics and pathways, but it can be disabled if needed. When enabled, an email is sent when a learner completes a topic or pathway.
By default, the email is sent to the learner and includes a summary of their key results (length, completion date, assessment results, and activities completed), along with a copy of their journal and a PDF of their certificate.

Each notification has a default recipient that cannot be removed. If the notification is enabled, this person will always receive the email - their name will appear in the “To” field of the message.
In addition to the default recipient, you can choose to send the notification to others.
Primary Admins: The Primary Admin Email set at Accounts → Subscription. It does not include other admins.
Creators: Sends the notification to all creators assigned to the topic. (Not available for pathways.)
Managers: Includes the learner’s assigned managers (up to 5). Helpful for overdue notifications, as it escalates visibility.
Mentors: Includes the learner's assigned mentor.
Stakeholders: Lets you manually add one or more email addresses, separated by commas - useful for notifying a team or individual (e.g. on completion of a topic or pathway).
