Assigning a creator:
Admins can assign users to specific topics as creators or grant general permission to create new content.
When first setting up a new topic - you can assign one or more creators on the initial set-up page, optionally sending an email to notify them.
After a topic is already established - you can assign or un-assign creators via the 'Access' tab of the applicable topic. Navigate to Admin → Knowledge → Topics, click the applicable topic to open it, change to the 'Access' tab and click 'Edit Creators' before adding the names of any creators you want to add. To un-assign creators, follow the same steps and click the X symbol next to their name to remove them.
Via the Topics tab on an individual's profile - you can assign (or un-assign) an individual as a creator via the 'Topics' tab of their profile. Navigate to Admin → People, select the person you want to make a creator and change to the Topics tab. In the 'Manage Role' column, click the 'Make Creator' link to enrol the person as a creator or 'Make Explorer' to remove them as a creator and reinstate their explorer enrolment.
NOTE: For information about enrolling users as assessors, see this support article.
Removing a creator or assessor:
Important: If you remove a creator or assessor from the 'Access' tab of a topic or pathway (without assigning them as an explorer instead), they will be entirely unenrolled from the topic or pathway.
Option 1 : If you wish to remove a creator but want that person to retain their learner enrolment, follow the below steps:
Navigate to the persons profile at Admin → People and select their name.
In their profile, navigate to the relevant Topic tab.
Locate the topic in the list and you should see under the 'Manage Role' column which topic they are assigned as a Creator for
Under the 'Manage Role' column, change their enrolment type to explorer by clicking 'Make Explorer'. This will change their enrolment type and remove them as a creator.
Option 2: If you do not require the person to be enrolled in the topic, you can proceed to remove their name from the Creator field under the Access tab of the topic.
Navigate to Admin → Knowledge and select Topic.
Locate the topic in the list and click on it's name.
Once you are in the topic, select the Access tab.
Select 'Edit Creators'.
Select the 'x' icon next to the person's name and hit 'Save'. This will remove them as a creator and also remove any associated enrolment.
Granting general 'Creator' permission
By assigning the 'Creator' permission to a user, you provide them with permission to create new topics (standard and short). These users will see the 'Create' tab on their learner dashboard, with a 'Create' button - allowing them to instigate new training content or continue editing existing content they are creators on.
This is a great option when you want to give an individual the general ability to start creating new training without giving them administrative privileges such as managing enrolments and reporting.
Creator FAQs
Can a topic have more than one creator?
Yes. However, the creators will need to coordinate their actions.
Can a topic have no creators?
Yes. The topic can exist without any creators being assigned to it.
If I remove a creator from a topic, what happens?
That person will lose the ability to edit the topic, but nothing else will be impacted in relation to the topic itself. If the person's enrolment is not changed from creator to explorer, their enrolment history in relation to the topic will be lost.
Can someone be a creator of more than one topic?
Yes.
Can someone be both a creator and assessor of the same topic?
No. A person can only be a creator OR an assessor of a particular topic. Creators can perform assessments though. Assessors, however, are limited to only assessor functions (and cannot edit/create the content).
What happens when I 'complete' a topic as a creator?
If you 'complete' a topic as a creator, it will still show on your Create tab.
If you are enrolled as a creator in a topic and that topic is in a pathway, then the topic will still appear in your Create tab (on it's own) but will also appear on your Training tab as part of that pathway.
How can I see who the creators of a topic are?
First, Admins can go to Admin → Knowledge → Topics and see a list of all their topics. Under each topic title, the name/s of any assigned creators is listed.
At the top of the Topics tab (in Knowledge), Admins will also see a dropdown button called 'All creators' which can be used to filter topics by their creators. Remember to switch between active/draft folders to see all your topics.
Second, Admins can go to the Access tab within a topic and the first panel will list all the creators.
