How can I run an Enrolments report or manage enrolments for a specific topic or pathway?

You can run an Enrolments report for any Topic or Pathway. The report also includes a range of bulk actions to help you manage enrolments.

Note: Each topic and pathway in your portal includes its own Enrolments tab, which displays a report-style view of all enrolments for that specific item. This view works like the All Enrolments report in Analytics but is automatically filtered to show only the enrolments for the applicable topic or pathway. It also includes bulk actions, which allow you to manage enrolments directly from this view.

Running an Enrolments report:

If you would like to run a report on a specific topic or pathway, you can do so via the topic or pathway's 'Enrolments' tab.

Navigate to Admin β†’ Knowledge and select either Topics or Pathways (depending on which type of knowledge you're wanting to review). Then select the title of your specific topic or pathway to open it.

Here you will see an Enrolments tab. Select this tab to be taken into the enrolments reporting area of the selected knowledge.

By default, the report shows details of all current enrolments, however, you can filter the report by:

  • Enrolment status (all, current or lapsed)

  • People (default and custom fields)

  • Enrolled By (search function to filter enrolment method by a keyword or key phrase)

  • Enrolment type (all, explorer, creator, assessor, or creator and assessor enrolments)

  • Progress status (each explorer's current progress status: pre-enrolled, unexplored, exploring, applying or completed)

  • Roles (any roles that exist in your portal)

  • Enrolled, due, completed and certified dates (selected periods of time or custom dates)

You can also modify the fields displayed in your report. To do so, click the eye icon and select or deselect the fields, accordingly.

When you click the eye icon, you will see (and be able to select) any custom fields in your portal that have been granted 'Admin' visibility. For more information, click here.

After creating a filter, you can save it as a favourite search using the 'Save Search' button.

Favourite searches are available when you click the star button (next to the 'Save Search' button).

To clear all applied filters, click the 'Reset' button.

Report downloads

You can download your report as a CSV file using the download button.

When you download reports, CSV files are generated in the background. Once ready, they can be accessed (and downloaded to your computer) from the Downloads area of Analytics.

Your downloaded Enrolments reports for your specific topic or pathway will be available to you for 30 days following their download and are not visible to other users.

For auditing purposes, all downloads are recorded in the Timelines report.


Performing bulk actions:

There are several bulk actions you can perform when running Enrolments reports from the Enrolments tab of a specific topic or pathway. To use bulk actions, tick the checkbox beside each learner enrolment you want to update - the selected bulk action will then apply to all the ticked enrolments.

Below is a list of actions you can perform:

  • Unenrol from knowledge

  • Change due date

  • Remove due date

  • Set to completed

  • Change completed date

  • Change certified date

  • Reset enrolment

  • Retake knowledge

  • Prevent recertification

  • Allow recertification
