What email notifications are sent to explorers?

You can send email notifications to learners for your training, optionally copying in managers, admins, mentors and other stakeholders.

You can send email notifications to explorers for each of your topics and pathways, with the option of cc-ing up to five managers, admins, mentors and other stakeholders.

Notifications can be managed in each topic or pathway's 'Notifications' tab (see more information here). Learn how email notifications are sent to users here.

NOTE: To send reminder notifications, your topic or pathway must have a due date set and enabled.

NOTE: The only notification enabled by default for a topic or pathway is the completion notification. All other notifications are optional.

Let’s look at some of the email notifications you can choose to turn on.

Enrolment notification

The enrolment notification will notify your users when they have been enrolled into a new topic, article or pathway:

Hi John,

You have just been enrolled in a new topic — "Privacy in the workplace and recruitment (AU)" — at ABC Training Company. You can find an overview of the topic below.

Keep in mind that the due date for this topic is no later than May 07, 2022. There is an estimated 48 minutes of online activity required to complete this topic.

When you are ready, please login and start your journey as soon as possible.

Reminders (before due date)

You can set a series of reminders to be sent before the due date:

Hi John,

This is a reminder of the due date - October 31, 2022 - to complete Compliance for All Staff at ABC Training Company.

To complete this pathway, please return and complete all the knowledge within that pathway as soon as possible.

Due date reminder

You can send a reminder on the topic or pathway's due date:

Hi John,

This is a reminder of the due date - May 04, 2022 - to complete Introduction to our systems at ABC Training Company.

To complete this topic, please return and complete all the knowledge within that topic. Remember, there is an estimated 42 minutes of online activity and 60 minutes of workplace activities required to complete this topic.

Overdue reminders

You can also choose to send a series of reminders once the due date has passed:

Hi John,

The due date - October 31, 2022 - to complete Compliance for All Staff at ABC Training Company has passed. Your completion of this pathway is now due.

To complete this pathway, please return and complete all the knowledge within that pathway as soon as possible.

Knowledge complete

You can send a notification once the topic or pathway has been completed:

Hi John,

Congratulations! You have completed the topic Team culture: Assessing and Managing. Your final journal is included below. For your records, during your time with this topic you...

  • Explored a total of 44 minutes of online activity exploring knowledge and expertise

  • Completed the activity 'Conduct a team culture assessment' on October 20, 2022 (60 minutes)

  • Completed the 4 steps in this topic on October 20, 2022

Well done. You can download a completion certificate, including any professional development information, from your online profile.

Your exploration of this topic is now complete.

Can these email notifications be customised/Can I change the wording in the email?

No. At this stage, the text sent within the email notifications are not customisable.

Can notifications be sent to other stakeholders?

Yes. You can configure each topic and pathway notifications to cc people including assigned managers and mentors, admins, and other stakeholders (by inputting their email address into the 'Stakeholders' field for each notification).

Special report: Learner Report email notification

This is a special notification which is not set within a specific topic or pathway. Instead, it is set for a specific user and sends a report about all their relevant training which is overdue, due soon, recently expired or expiring soon.

This learner report email notification can be set for sending at the following frequencies:

  • None

  • Once a month (which means the 1st day of the month)

  • Twice a month (which means the 1st and 15th day of the month)

  • Every Monday

  • Every Tuesday

  • Every Wednesday

  • Every Thursday

  • Every Friday

The learner report email notification is sent between 5 am and 6 am of your organisation's timezone, so that learners have their report for the start of their work day.

There are four ways to subscribe a user to this learner report notification.

Profile tab on the Homepage

On the Profile tab on the Homepage, users see a dropdown to subscribe to the report at a frequency of their choosing.

User profiles in Admin

Admins can also subscribe their users. Admins can select a user in the Admin area to view their Profile. On the Profile page there is a Notifications panel which can be edited by Admins to set the frequency for this report.

Import People in Admin

Admins can also set the frequency of this report via the Import CSV function. Both the People and People + Enrolments imports support setting this field via the upload. When using the Import CSV function to set this field, select "Learner Report Frequency" as the System Field and enter your choice as one of: none, once_a_month, twice_a_month, every_monday, every_tuesday, every_wednesday, every_thursday or every_friday.

Public API

The Public API can also be used to set the frequency of this field for each user via the Users endpoint.

NOTE - By default, users are NOT subscribed to the learner report email.
