What is the Tokens report and when should I use it?

The Tokens report provides details of all self-registration tokens in your portal.

Overview

The Tokens report provides details of all self-registration tokens in your portal for each topic, article or pathway. It also includes information on limits, expiry dates and status.

Note: You can also view details of users created in your portal via self-registration by entering the token into the 'Created By' People filter on the People page and in enrolment lists.

Filtering your report


The Tokens report shows all activity by default, however, you can filter it by:

  • Knowledge (topics, articles and pathways)

  • Tokens (all or filter by a keyword or keyphrase)

  • Limits (all, only unlimited, only limited, with capacity or without capacity)

  • Items (all, only active or only inactive)

  • Expires (all, with expiry, no expiry, only future or only expired)

After creating a filter, you can save it as a favourite search using the 'Save' button. Favourite searches are available when you click the star button (next to the 'Save' button).

To clear all applied filters, click the 'Reset' button.

Report downloads


You can download your report as a CSV file using the download button.

When you download reports, CSV files are generated in the background. Once ready, they can be accessed (and downloaded to your computer) from the Downloads area of Analytics.

Your downloaded Tokens report will be available to you for 30 days following their download, and are not visible to other users.

For auditing purposes, all downloads are recorded in the Timelines report.

Example


The BigBusiness company use tokens to allow self-registration into several topics in their portal and are interested in seeing the number of active tokens with an expiry for a specific topic.

They use the Tokens report, filtering to see token details for the specific topic, along with the 'Only Active' and 'With Expiry' filter options.
