Overview
By default, enrolment retakes and unenrolments are handled by an admin. In some cases, though, you may want to let learners manage their own enrolments without needing to go through an admin first.
Two settings make this possible:
Learner retakes: When enabled, learners can initiate their own retake of a topic or pathway they have already completed. This creates a new enrolment and sets the previous completed enrolment to lapsed.
Learner unenrolments: When enabled, learners can unenrol themselves from a topic or pathway they have not yet completed.
Both settings are enabled on a per-topic and per-pathway basis, and both are found on the Access tab.
Learner retakes
How do I enable learner retakes?
Open the topic or pathway you want to update.
Navigate to the Access tab.
Tick the Learner retakes checkbox.
How do learners retake completed knowledge?
Once Learner retakes is enabled, learners will see a Retake button on the topic or pathway in their Training tab for any knowledge they have already completed. When the button is clicked, a new enrolment is created, and the previous enrolment is set to lapsed.
Note: If retake notifications are enabled for the topic or pathway, you can also include a manager, admin or stakeholder on the notification email, so they are reminded when a retake occurs. This applies to retakes generally, not just learner-initiated ones.
Important considerations for learner retakes
When a learner initiates their own retake, their completed enrolment is set to lapsed and a new enrolment is issued. The previous completed enrolment can still be viewed in reports but will be classified as 'lapsed'.
Learners can retake a topic or pathway regardless of how they were enrolled (i.e. by an admin, auto-enrolment or via self-enrolment in the catalogue). This means that if an admin enrols the learner and this setting is activated, then the learner can undertake a retake without admin assistance.
Allowing learner retakes may have other consequences. For example, a learner-initiated retake on a topic or pathway set for recertification would mark the latest enrolment as lapsed, making the learner no longer 'certified' in that topic. It is important to enforce checks and due dates so that learner retakes are acted upon and not forgotten about. Learner retakes on topics and pathways that are set to recertify periodically, such as those using the Requirements element for key license and training renewals, should be done carefully and with this in mind, especially where it is a legal requirement to maintain proof of current certification.
Learner unenrolments
How do I enable learner unenrolments?
Open the topic or pathway you want to update.
Navigate to the Access tab.
Tick the Learner unenrolments checkbox.
How do learners unenrol themselves?
Once Learner unenrolments is enabled, learners will see an Unenrol button on the topic or pathway in their Training tab for any knowledge they have not yet completed. When the button is clicked, a popup opens where learners confirm and then unenrol from the selected topic or pathway.
Important considerations for learner unenrolments
We recommend enabling this setting for content that would be optional for the learner to complete. Some reasons for this:
Learners can unenrol from a topic or pathway regardless of how they were enrolled (i.e. by an admin, auto-enrolment or via self-enrolment in the catalogue). This means that if an admin enrols the learner and this setting is activated, then the learner can unenrol themselves. It is not restricted to catalogue enrolments only.
There is no recovery from an unenrolment. If a learner unenrols from a topic or pathway they need to complete, they will need to start again after being re-enrolled. As such, this feature is best suited to optional content.
FAQs
What is the use case for enabling learner retakes?
Learners may wish to retake training:
Prior to taking holidays
When they have some time
Earlier than the expiry date
To update records linked to a topic such as a First Aid certificate
Allowing learners to self-initiate a retake means they don't need to wait on an admin to issue one, making it quicker and easier for them to refresh their knowledge or update their records whenever they choose.
When should I enable learner unenrolments?
Enable learner unenrolments for content that is optional to complete. Because there is no recovery from an unenrolment, it is not suited to required knowledge.
Can learners retake or unenrol from knowledge an admin assigned them? Yes. Both options apply regardless of how the learner was enrolled, so learners can act on admin-assigned knowledge once the relevant setting is enabled.
How can admins identify which topics or pathways allow these options?
The Topic Settings report and Pathway Settings report both show whether learner retakes and learner unenrolments are enabled.
