Overview
Learners may be required to retake knowledge - either automatically (e.g. through recertification) or manually, at an admin's discretion. In some cases, though, you may want to let learners retake knowledge on their own, without needing to go through an admin first. Learner-driven retakes can be enabled on a per-topic and per-pathway basis.
To enable this option, navigate to the Access tab in the topic or pathway you want to enable the setting for and tick the Learner Retakes checkbox.
How do learners retake their completed knowledge?
Once the Learner Retake option has been enabled for a topic or pathway, learners will see a Retake button on the topic or pathway in their Training tab for any knowledge that has already been completed. When clicked, the retake enrolment will be created and the previous one set to lapsed.
How can admins identify which topics or pathways allow learner retakes?
The Topic Settings and Pathway Settings reports contain this information.
Important considerations
As with all retakes, learner retakes mean that the completed enrolment is set to lapsed, and a new enrolment will be issued. The learner's previous completed enrolment can still be viewed in reports but will be classified as 'lapsed'.
Learners can retake a topic or pathway regardless of how they were enrolled (i.e. by an admin, auto-enrolment or via self-enrolment in the catalogue). This means that if an admin enrols the learner and this setting is activated, then the learner can undertake a retake without admin assistance.
Allowing learner retakes may have other consequences. For example, a learner retake on a topic or pathway set for recertification would mark the latest enrolment as lapsed, making the learner no longer 'certified' in that topic. It is important to enforce checks and due dates so that learner retakes are acted upon and not forgotten about. Retakes on topics and pathways that are set to recertify periodically, such as those using the Requirements element for key license and training renewals, should be done carefully and with this in mind, especially where it is a legal requirement to maintain proof of current certification.
FAQs
What is the use-case for enabling learner retakes?
Learners may wish to retake training prior to taking holidays so they don't need to do it on their return, may wish to retake it because they have some time and want to do it again, may want to do it a bit earlier than the expiry date, or may want to update records of external training linked to a topic - such as a First Aid certificate. Allowing learners to self-initiate a retake means they don't need to wait on an admin to issue one, making it quicker and easier for them to refresh their knowledge or update their records whenever they choose.
