What is the All Responses report and when should I use it?

The Responses report includes details of all written responses from your topics and articles.

Overview

The Responses report allows you to view all written responses from all explorers in all knowledge (topics and articles). Written responses are captured via any Q&A and Reflect elements used in your topics or articles.

By default, the report shows details of written responses from all knowledge in your portal, however, you can filter the report by:

  • Knowledge (topics, articles and pathways)

  • Enrolment status (all, current or lapsed)

  • Dates (a selected period of time or custom dates during which the responses were created)

  • People (default and custom fields)

  • Categories (any categories that exist in your portal)

  • Prompts (a keyword or phrase from the question or activity that prompted the response)

  • Responses (a keyword or phrase from the response)

  • Labels (the label you provide for Q&A and Reflect elements when creating them)

  • Roles (any roles that exist in your portal)

After creating a filter, you can save it as a favourite search using the 'Save Search' button. Favourite searches are available when you click the star button (next to the 'Save Search' button).

To clear all applied filters, click the 'Reset' button.

Report downloads

You can download your report as a CSV file using the download button.

When you download reports, CSV files are generated in the background. Once ready, they can be accessed (and downloaded to your computer) from the Downloads area of Analytics.

Your downloaded Responses reports will be available to you for 30 days following their download, and are not visible to other users.

For auditing purposes, all downloads are recorded in the Timelines report.


Example

The ABCE Training company wants to view all written responses to questions and activities in their management training.

They use the Responses report, filtering by their 'Management' category.
