How is learner progress through training managed or tracked?

As you enrol people into topics and pathways, you can track their progress in a number of ways.

As you enrol your people into topics or pathways, Tribal Habits tracks their progress in a number of ways.

Phases of progress

First, we show consolidated learner progress through five phases.

  • Pre-enrolled (Pathways only) – The learner has been enrolled in a pathway which contains this mandatory topic but has not yet started exploring this topic. This is a 'placeholder' progress status while the learner prepares to start exploring. This phase does not trigger any due dates or notifications.

    • 'Pre-enrolled' is the initial progress phase for pathway topics, however this can be changed if you'd prefer the initial phase to be 'Unexplored'.

  • Unexplored – The learner has been enrolled in a topic or pathway but has not started exploring it. This phase will trigger due dates and notifications.

  • Exploring – The learner has started exploring the topic, or at least one topic in a pathway, and is reviewing the knowledge. Most topics are 30-60 minutes in length, so a learner may only be in this phase for a short period, assuming they explore the topic in 1-3 sessions. Most short topics will be completed in one session. Pathways typically contain many topics, so it may be many days, weeks or even months in their progress phase.

  • Applying (Topics only) – The learner has started the assessment but hasn't yet completed or passed it, or they've passed it but still need to finish the Destination module that follows to complete the topic.

  • Completed – The learner has finished all the modules in that topic and completed all the required topics in a pathway. They are finished exploring the relevant knowledge.

Individual progress

Admins can review detailed progress for a learner in any topic or pathway by clicking their progress phase. You'll find this on the Enrolments tab of a topic or pathway (Admin → Knowledge → Topics/Pathways → select the item → Enrolments → Progress link of any learner), or on the Topics or Pathways tabs of an individual person's profile.

This opens that learner's enrolment record – a full view of one person in one piece of knowledge. It's the fastest way to answer a question about a single learner in a single topic, because everything the platform knows about that enrolment sits on the one screen, without needing to run a report.

The Progress panel

The top panel summarises the enrolment itself:

  • Person and Topic/Pathway – links to the learner's profile and the knowledge item.

  • Enrolled – the date and time the enrolment was created.

  • Enrolled by – how the enrolment happened (e.g. a manual enrolment by a named admin, self-enrolment, an enrolment rule or a CSV import). Handy when someone asks "why am I enrolled in this?".

  • Due date – with a Change due date link.

  • Progress – the current phase, with a Reset entire enrolment link. Note this is destructive – it wipes existing progress rather than creating a new enrolment.

  • Completed – the completion date, with a Set to completed link.

  • Certified – the certified date, if certification is enabled on that topic or pathway.

  • Status – Current or Lapsed. Lapsed enrolments are retained as history but can no longer be explored.

  • Version – the content version this enrolment relates to, where topic versioning is in use.

  • History – a running log of this enrolment's milestones (enrolled, started, completed, reset, etc.), with dates and times.

Empty fields simply mean nothing has been recorded yet – for example, a learner who has Unexplored progress will have no completion or certified date.

The detail panels

Below the Progress panel, each area of the learner's activity is broken out separately. Panels only populate if the topic uses those elements, so a short knowledge-only topic will show mostly empty panels.

  • Notes – internal notes about this learner's progress, added via the Add link. Notes are visible to anyone who has access to progress reports, including team leaders if team leader access to topic progress PDFs is enabled.

  • Responses – the learner's written contributions from elements like reflections and Q&A.

  • Answers – results from quizzes, polls, matches and assessments.

  • Tasks – any Task elements, including assessor verification status.

  • Uploads – files the learner has submitted.

  • Events – attendance to events that are held for this knowledge.

  • Requirements – submissions made via Requirement elements, including evidence and expiry details.

  • Observation – results from any Observation elements, including overall score, pass/fail status, learner acceptance and number of attempts.

Note: Use the I want to... menu at the top right of the page to export the learner's progress in that topic or pathway as a PDF – useful for audit evidence, performance reviews or sharing a record with a manager outside the portal. Note that this will also include any Notes that have been added. If enabled by a Super Admin, team leaders can also download this PDF for their team members from the Team tab on their Homepage. How can I manually set a learner to 'completed'?

When an learner completes all the modules in a topic or completes all required knowledge in a pathway, their status will change to Completed.

Admins can also manually set learners' statuses to Completed on occasions when that is required. There are three ways to do this.

  • On the Enrolments tab in any topic or pathway, you can select any number of learners and use the bulk action Set to completed (by clicking the Bulk Action... drop-down button).

  • You can view any learner's individual progress page as outlined above and use the Set to completed link.

  • You can view a learner's Profile and use the Set To completed link on the Topics or Pathways tabs.

  • Completions set manually by an admin are recorded separately from completions by the learner in the Timelines report, so it's clear whether the learner worked through the training themselves.
