How can learners receive reports about their training progress?

Learners can subscribe to regular email notifications about their training progress.

While learners can use the Training tab of the Learner homepage to monitor their training progress, they can also be subscribed to a regular email report providing this information.

The learner report is a good way for learners to stay on top of their training, especially if they have multiple deadlines.

What is the learner report email?

The learner report email is a templated notification which all learners can receive periodically. The email includes:

  • A summary of the learner's overdue topics and pathways, with a table of titles, due dates, and current progress.

  • A summary of training that expired within the past 45 days, including topics and pathways with a certified date that has passed, and external knowledge with an expiry date that has passed.

  • A summary of any topics or pathways that are due for the learner in the next 45 days.

  • A summary of the learner's training that is soon to expire - this refers to any topics or pathways with a certified date within the next 45 days.

  • A summary of training completed by the learner in the last 45 days.

How often is the learner report email sent?

Learners can subscribe to the report on a given frequency:

  • None

  • Once a month (which means the 1st day of the month)

  • Twice a month (which means the 1st and 15th day of the month)

  • Every Monday

  • Every Tuesday

  • Every Wednesday

  • Every Thursday

  • Every Friday

The learner report is sent between 6 and 7 am based on your organisation's time zone.

How can learners be subscribed to the learner report email?

Learners can subscribe to learner report emails themselves. They can also be subscribed by Admins and their Team Leaders, through various means. These are outlined below.

Profile tab on the Homepage

On the Profile tab of the Homepage, learners can subscribe to learner report emails. This can be done from the Settings panel.

User profiles in Admin

Admins can subscribe learners to these emails on their behalf. To do this, go to Admin β†’ People, select the relevant learner, then open their Profile page. In the Notifications panel, Admins can edit and set the frequency for this report.

User profiles on the Teams tab

Team leaders can subscribe learners that they manage. This is done from the team members profile within the Teams tab.

Import People in Admin

Admins can also set the frequency of this report via the Import CSV function. Both the People and People + Enrolments imports support setting this field via the upload. When using the Import CSV function to set this field, select "Learner Report Frequency" as the System Field and enter your choice as one of: none, once_a_month, twice_a_month, every_monday, every_tuesday, every_wednesday, every_thursday or every_friday.

Public API

The Public API can also be used to set the frequency of this field for each team leader via the Users endpoint.
