What does the managed integration with EmployeeConnect do?
This integration populates Tribal Habits with new and updated users from EmployeeConnect on a regular basis, including:
New users in EmployeeConnect are created in Tribal Habits
Updated users in EmployeeConnect are updated in Tribal Habits
User data from EmployeeConnect is populated (e.g. job title, location)
Manager data from EmployeeConnect is populated (including email)
Terminated users in EmployeeConnect are deactivated in Tribal Habits
Topics created in Tribal Habits can be created as courses in EmployeeConnect
Topic enrolments completed in Tribal Habits can be sent as results to EmployeeConnect

What are the benefits of this integration with EmployeeConnect?
Reduced administrative workload
First, this integration reduces the workload for your Tribal Habits administrators by automating user creation. New users will be automatically populated in Tribal Habits from EmployeeConnect. Users can also be deactivated based on data from Employee Connect.
Data consistency
Second, the integration eliminates data inconsistency. Users are updated automatically from EmployeeConnect, ensuring that your Tribal Habits data matches your EmployeeConnect data. Course results can also be sent to EmployeeConnect. This allows your organisation to use EmployeeConnect as a single source of truth for user data.
Improved reporting
With more (and more accurate) user data, your Tribal Habits reporting and administration is also improved.
What’s required to set up the integration with EmployeeConnect?
The integration is managed by Tribal Habits. Our team will set up the integration and manage it on your behalf. Error messaging for a failed user sync can be enabled and sent to a specified email address at your organisation, allowing your EmployeeConnrect or Tribal Habits administrators to be immediately notified if user data is incorrect or inconsistent.
The integration requires no set-up or preparation work by your team. Our support team will organise the entire integration. Once the integration is ready, we will require a small amount of time from your EmployeeConnect or Tribal Habits administrators to finalise testing.
Finally, our integration with EmployeeConnect is a ‘managed integration’. This means our Support team will create and run the integration on your organisation’s behalf. It also means that each integration can be customised to suit your organisation. Here are the major steps and options as we set-up this integration.
1 – Kick-Off Call
We begin with a 30-minute kick-off call with your team to discuss your integration.
First, we will determine the appropriate 'user name' for your users in Tribal Habits.
For organisations using Single-Sign-On (SSO), this will typically be the work email address of your employees. This is usually because your SSO platform will typically use work email as the user name field, and we need to match that field between SSO, EmployeeConnect and Tribal Habits.
For organisations without Single-Sign-On, and perhaps with employees who use personal email addresses, we may use email address or another unique identifier (for example, their EmployeeConnect UserID).
Second, we focus on the additional fields of user data you may want to sync from EmployeeConnect into custom fields in Tribal Habits – such as location or job title.
Third, we review any filters on the user sync process - for example, only syncing users from specific locations or only syncing users with company email addresses.
Finally, we determine if your organisation wants to sync courses and results back into into EmployeeConnect.
We can also discuss the load of your initial users, which can also be completed through our integration (to initially load all your existing users and their data into your Tribal Habits platform).
2 – Integration Preparation
Once you have finalised decisions on the user name, user data fields and any other sync filters, you can notify us that you are ready to proceed. Our team then prepares the integration, which typically takes just a few days.
In the meantime, you can reach out to EmployeeConnect to obtain your integration codes (our team will explain this during the kick-off call). We will require these codes for the next step.
3 - Set-Up Call
We then organise a second call with your team for the authorisation process. We require one of your EmployeeConnect administrators for approximately 30 minutes to complete an authorisation process and then test the integration with our team.
Our team will step your administrator through the process, which is easy to follow and requires no IT experience. 😀
Specifically, we will:
5 minutes - Authorise your Tribal Habits integration in EmployeeConnect. For this, we require either (a) temporary admin access to your EmployeeConnect platform or (b) to guide one of your EmployeeConnect admins through the authorisation process. In both cases, we will need the integration codes mentioned in step 3.
15-30 minutes - Testing the various scenarios in the integration (new user, updated user, terminated user and so on).
4 - Go Live
Once your integration is tested and ready to go, we can activate the integration when your team is ready! We actively monitor your integration for the first few weeks to ensure its all working as intended, or to fine tune any requirements. Your integration is then all set!
FAQ: What user data is typically synced from EmployeeConnect?
We can customise the user data synced from EmployeeConnect. You can specify which data to sync and into which fields in Tribal Habits.
FAQ: Can we filter which users are synced from EmployeeConnect?
Yes. We do not have to sync all users. We can filter users based on email (e.g. only sync users with a company email) or any other filter based on user data available in EmployeeConnect.
FAQ: Can we sync topics in Tribal Habits as courses in EmployeeConnect?
Yes. We can create courses in EmployeeConnect, including a launch URL, based upon topics in Tribal Habits. We typically have a 'conditional' sync, which means that topics in Tribal Habits will not sync until certain conditions are met (to avoid creating courses in EmployeeConnect before the topic is 'ready' for learners in Tribal Habits).
The three conditions required to sync a topic into EmployeeConnect are:
The topic has been published.
This prevents topics which are still being developed from being synced. All imported Library topics are already published. However, if you copy in a Library topic for editing or create a new topic yourself, you will first need to publish the topic to at least Version #1.0 before the sync can occur.
The topic has been moved to the Active folder.
This prevents topics which are in the Draft or Archived folders from being synced, as they are typically 'not ready for enrolments'. So the published topic should be moved to the Active folder before the sync can occur.
The topic has an auto-enrol link created with a reference of "EC".
To allow for seamless launches in EmployeeConnect, we utilise an auto-enrol link to instantly enrol learners into the topic when launched from EmployeeConnect. For each topic, you will need to create a new auto-enrol link with the reference EC as the final step to allow the sync to occur.
In total, these tasks take less an a minute for each topic you wish to sync into EmployeeConnect.
We note that we do not sync Tribal Habits Pathways into EmployeeConnect. Customers utilising EmployeeConnect's Development module should instead use the Learning Paths feature in EmployeeConnect to replicate the Tribal Habits Pathways feature.
FAQ: Can we sync results into EmployeeConnect?
Yes. For courses in EmployeeConnect which are created from a topic in Tribal Habits, we can send results to EmployeeConnect when a user completes the topic in Tribal Habits. The results include the completion date.
FAQ: How quickly does information sync from EmployeeConnect?
For User Data (to sync users from EmployeeConnect to Tribal Habits), the sync is a scheduled update - this means the update occurs on a fixed schedule through-out the day or week. We can agree this schedule with you, depending on the frequency of changes in your organisation and the required timeliness of those changes. For most organisations, an update a few times each work day is sufficient, but we can increase or decrease the frequency as required (to as often as every hour for large organisations with frequent changes).
For Courses Data (to sync approved topics in Tribal Habits as courses in EmployeeConnect), the sync is also a scheduled update. We can agree this schedule with you, but it is typically every two hours during business hours.
For Results Data (to sync completed enrolments in Tribal Habits as results in EmployeeConnect), the sync is instant. As soon as the course is completed in Tribal Habits, we send the result to EmployeeConnect within a few seconds.
