How can I prevent my topics from accidental deletion?

The Delete Protection feature is an optional setting that can be used to protect topics from unwanted deletion.

Overview

Our Delete Protection feature can be enabled on any topic in your portal. This feature prevents topics from being deleted.

Note: Delete Protection is disabled for all topics by default.

Steps to enable Delete Protection

This feature can be enabled by following these steps:

  1. Navigate to Admin β†’ Knowledge β†’ Topics

  2. Identify the relevant topic in the list and click it's name to open more details.

  3. Once you have your topic open, navigate to the Settings tab.

  4. Click Edit General in the General panel.

  5. Select the check box next to the Delete Protection option.

  6. Click Save.

The topic can no longer be deleted unless this setting is disabled.

Steps to enable Delete Protection in bulk

Protection from deletion can be applied to multiple topics at once. Follow these steps:

  1. Navigate to Admin β†’ Knowledge β†’ Topics.

  2. Select the check box next to any topic you want to enable the setting for.

  3. Click the Bulk Actions button and select Enable delete protection.

  4. Then click Enable Protection in the dialog that appears.

The topics you selected can no longer be deleted unless this option is disabled.

How can I see which topics have Delete Protection enabled?

Once enabled, in your list of topics you will see a padlock icon beside any topic that has Delete Protection enabled. This will assist you in identifying topics you cannot delete.


What happens if an admin tries to delete a topic with Delete Protection enabled?

Topics with Delete Protection enabled cannot be deleted and will display a message indicating the topic has not been deleted after deletion is attempted due to the Delete Protection setting.

There are two methods for deleting topics, please see further details on each below:

  • Method A: Deletion directly in the topic

    If an admin selects 'Delete Topic' from the 'I want to...' option for a topic with Delete Protection enabled, they will see the below message advising that protection is enabled and the topic cannot be deleted.

  • Method B: Deletion via the Bulk Action button on the Topics tab

    If an admin selects multiple topics on the Topics tab and then clicks 'Delete Knowledge' using the 'Bulk Action...' button, they will see the below message advising of the number of topics not deleted due to protection being enabled.

    Topics without Delete Protection enabled will be deleted and the admin performing the action will be advised of the number of successful deletions.

Note: You will need to disable the Deletion Protection feature in order to delete the topic.
