What is the Roles Summary report and when should I use it?

The Roles Summary report summarises the percentage or number of assigned roles which have been fully attained (current skills).

Overview

The Roles (Roles Assigned) Summary report shows details of all current skills for your portal by showing the percentage or number of assigned roles that have been 100% attained.

Note: This report is only visible if the Roles feature is in use within your portal.

Filtering your report


By default, the report shows details of attained roles for all people as a percentage. You can change the view from percent to numbers, and filter the report to show data for specific people, roles and groups:

  • People (default and custom fields)

  • Roles (any roles that exist in your portal)

  • Groups (any groups that exist in your portal)
    โ€‹Note: This filter option is only visible when 'Groups' are enabled in your portal.

  • Percent (or numbers)


After creating a filter, you can save it as a favourite search using the 'Save Search' button. Favourite searches are available when you click the star button (next to the 'Save Search' button).

To clear all applied filters, click the 'Reset' button.

Report downloads


You can download your report as a CSV file using the download button.

When you download reports, CSV files are generated in the background. Once ready, they can be accessed (and downloaded to your computer) from the Downloads area of Analytics.

Your downloaded Roles Summary reports will be available to you for 30 days following their download, and are not visible to other users.

For auditing purposes, all downloads are recorded in the Timelines report.

Example

As part of their talent management, the BigBusiness company want to see how many of their Perth-based employees have fully attained the skills associated with sales management.

They've set up a 'Sales Manager' role within their portal and assigned the associated skills to various topics and pathways. They've also assigned this role to several employees across the business who've expressed an interest in working their way towards becoming Sales Managers.

BigBusiness uses the Roles Summary report, filtered to only display the 'Sales Manager' role. Using their 'Location' custom field, they further filter the report to see data for Perth-based employees only, and change the report from 'Percent' to 'Number', allowing them see the exact number of people who've attained the role versus the number of people its assigned to in Perth.
