What is the Observations - Scores report and when should I use it?

The Observations - Scores report provides a snapshot of learner scores across a particular Observation.

Overview

The Observations - Score report allows you to drill down into a specific Observation for a topic to see how learners are scoring across their attempts. It's a good way to understand whether learners are improving over time, and whether your training is setting them up to succeed.

The report outlines:

  • Total enrolments for the specific Observation

  • Average score across all learners' first attempts, and across all learners' final (most recent) attempts

  • A score-by-score breakdown showing how many learners received each score, both on their first attempt and their final attempt

  • The percentage of enrolled learners sitting at each score

  • How many learners are pending a score, or have not yet attempted

Locating the Observations - Scores report

Navigate to Admin → Analytics and click the Observations - Scores report tile under the Contributions report category.

Filtering your report

This report contains the following filters:

  • Select a topic: Select one topic from a list - only topics containing Observations will appear.

  • Select an observation: Select one Observation from the list - the list will include Observations from the specific topic chosen in your filters.

  • Current Status: Filter scores by all, current, or lapsed enrolments.

  • All People: Filter learners by standard or custom fields.

  • All Roles: Filter scores by learner role.

  • My Groups: Filter scores by groups you belong to.

Once you have selected your filters, click Apply filters.

Understanding First vs Final

The key to reading this report is understanding what the First and Final columns are comparing. # First shows what score a learner received on their very first attempt at the Observation. # Final shows what score that same learner received on their most recent attempt.

This means learners can effectively move between rows as they retry - someone who scored a 2 on their first attempt but a 4 on their latest will appear under score 2 in the First column, and score 4 in the Final column. Comparing the two columns side by side lets you see at a glance whether learners are improving between attempts, and by how much. (Refer to screenshot below)

Example

ABCDE company wants to understand how their new employees are performing in their in-store evaluation. Filtering the Observations - Score report to the relevant topic and Observation, they can see that while many learners scored a 2 on their first attempt, none remain at that score in the Final column - those learners retried and improved significantly. The average score jumped from 3.0 on the first attempt to 4.6 on the final, telling them that while the evaluation is challenging initially, their training is clearly helping learners get there in the end. FAQs

Why does a learner appear in the Pending row?
Pending means that the learners attempt has not been submitted yet - either by the learner (for self-assessments) or by the assessor where assessor review is required.

Why are my First and Final averages the same?
This likely means none of your learners have retried the Observation yet - everyone's first attempt is also their most recent, until another attempt is made, so the two averages will match unless and until retries occur.
