What is the Requirements report and when should I use it?

The Requirements report shows all requirement contributions, including assessor results, uploaded evidence, and expiry details, helping admins track compliance and verification across their portal.

Overview

The Requirements report provides a detailed overview of all submissions made through Requirement elements across the topics in your portal, including assessment outcomes and any supporting evidence.

Each row in the report represents a requirement contribution and includes the following fields:

  • Title: The name of the topic the requirement was submitted via

  • Person: The learner who submitted the requirement

  • Categories: Any categories that apply to the topic the requirement belongs to

  • Label: The label assigned to the Requirement element when creating it

  • Instructions: The instructions provided to learners completing the Requirement element

  • Name: The name of the requirement

  • Date Obtained: The date the requirement was obtained

  • Result: The learner's result against the requirement (Pass, Fail, Pending)

  • Evidence: The name of any submitted files (for example, a certificate)

  • Expiry Date: The date the requirement expires

This report is particularly useful for tracking certifications, licences, and other compliance-related evidence that may require review or renewal.

Note: The Requirements report will only display data if the Requirement element is used in one or more topics within your portal.

Locating the Requirements report

Navigate to Admin β†’ Analytics and click the Requirements report tile under the Contributions report category.

Alternatively, you can access a pre-filtered version of the report for a single topic by opening that topic and selecting the Requirements tab. Only requirement data for that topic will be shown.

Filtering your report

By default, the Requirements report displays all requirement contributions across all knowledge, people, and result types.

To focus on specific requirements, people, or timeframes, you can refine the report using the following filters:

  • Knowledge: Topics or pathways

  • People: Default and custom fields

  • Categories: Any categories that exist in your portal

  • Labels: The label provided for a requirement when creating it

  • Results: All or pending

  • Roles: Any roles that exist in your portal

  • Groups: Any groups that exist in your portal

  • Date Obtained: A selected period of time or custom dates during which the requirement was obtained

  • Expiry Date: A selected period of time or custom dates during which the requirement expires

Example

The Horizon Facilities Management company is interested in identifying employees whose mandatory certifications are due to expire within the next three months.

They use the Requirements report, filtering by knowledge, roles, results and the expiry date to see which certifications require renewal and ensure ongoing compliance across their workforce.
