Overview
By default, all notification emails sent from Tribal Habits are sent from a @tribalhabits.com email address.
For organisations on a Business 50 or larger plan, we also offer the option to send notification emails using your own email domain (for example, @yourorg.com). This allows you to further align notifications with your organisation’s brand and improve deliverability and trust for learners.
This feature is designed as a companion to custom domains (vanity URLs). While a custom domain controls the URLs and links learners see, a custom email domain controls the From address used for notification emails.
THIS FEATURE REQUIRES A BUSINESS 50 PLAN OR LARGER
Please note that custom email sending domains are only available on Business 50 or larger plans.
This feature is not available on smaller plans (such as Lite) or legacy plans (older monthly plans).

What are the requirements for a custom email domain?
To enable this feature, all of the following requirements must be met.
An eligible subscription
Your subscription must include the custom email domain feature.
Business 50 or larger plans: included
Lite or legacy plans: not included

Control of your domain’s DNS
You must own and be able to edit DNS records for the domain you want to send emails from. For example:
If you want emails sent from @yourorg.com, you must own and manage DNS for yourorg.com
If you want emails sent from @notifications.acme.com, you must own and manage DNS for acme.com
DMARC must be enabled
Your domain must have DMARC enabled before we can activate a custom email sending domain.
DMARC helps protect your domain from spoofing and is required to ensure reliable email delivery.
If your domain does not already have DMARC enabled, your IT or email administrator will need to configure this before proceeding.
How do I apply for a custom email domain?
Setting up a custom email sending domain is straightforward, assuming you can manage your DNS. The process is broadly:
Request the custom email domain from Tribal Habits
Receive DNS instructions from our support team
Update your DNS records
Confirm the changes so we can activate email sending
Let’s review these steps in more detail.
Step 1 – Request a custom email domain
Send an email to [email protected] with your request. In this email, please include:
The Tribal Habits portal the email domain should apply to (for example, yourorg.tribalhabits.com)
The email domain you want to send from (typically @yourorg.com). This needs to be a top level domain (TLD) not a subdomain
The primary admin email you want to use, which must be from your specified email domain (for example, [email protected])
Confirmation that:
You can edit DNS records for the domain
DMARC is enabled for the domain
Important: Changing your email domain later will require repeating the entire setup process. Please ensure you are confident in your choice before submitting your request.
Step 2 – Await instructions from the support team
Once we receive your request, our support team will:
Confirm your subscription eligibility
Review and approve your requested domain
Generate DNS records required for email authentication
You will then receive detailed instructions for adding several DNS records, including:
3 x CNAME records for domain authentication (typically em.yourorg.com plus two domainkey verfication records)
2 x CNAME records for branded links within our email notifications (typically click.yourorg.com)
We also require that your domain has a DMARC record, which is provided as a TXT record. If your organisation has already established a TXT record with your DMARC policy, you can continue to use that. Else we will provide the minimum DMARC policy and TXT record required.
These records allow us to send email securely on your behalf and ensure good deliverability.
Our support team typically responds within 48 business hours.
Step 3 – Update your DNS records
Using the instructions provided, update your domain’s DNS records with your domain provider or DNS host.
DNS changes can take time to propagate. In most cases this is quick, but in some environments it may take several hours.
Step 4 – Confirm DNS updates and activate email sending
Once your DNS records have been added, reply to the support team so they can verify the changes.
After verification, we will activate your custom email domain in your portal. This final step is typically completed within 48 business hours.
What changes once the custom email domain is active?
Upon activation, we will update your primary admin email address to match the one provided from you. At that point, all platform notification emails will be sent from new primary admin email address from your own email domain.
This feature only affects email sending. It does not change:
Your portal URL
Your custom (vanity) domain
Existing links or integrations
Relationship to custom domains (vanity URLs)
Custom email domains and custom portal domains are independent but complementary features:
Custom domain (vanity URL): controls the URLs learners click
Custom email domain: controls the email sender address
You can enable either feature independently, or use both together for a fully branded experience.
Special notes: Deliverability and ongoing maintenance
You must maintain valid SPF, DKIM, and DMARC records for your domain
Removing or altering DNS records may cause email delivery failures
If your domain’s DMARC policy becomes invalid or misconfigured, we may temporarily disable sending to protect deliverability
If changes are planned to your email infrastructure, please notify us in advance.
